Uploading Documents to a Workspace

You can add documents to a workspace in several ways: file upload, website scraping, Google Drive import, or attaching files directly in chat. This guide explains each option so you can choose the right one for your workflow.

File upload

Supported formats

  • PDF (.pdf)
  • Word (.doc, .docx)
  • Excel (.xls, .xlsx)
  • CSV (.csv)
  • Text (.txt)
  • Markdown (.md)

Multiple files can be uploaded at once.

How to upload

  1. Go to Saved Items β†’ Documents tab.
  2. Click Add Content (or the upload/plus button).
  3. In the File Upload tab:

- Drag and drop files onto the drop zone, or - Click the drop zone to open a file picker.

  1. Files are processed and embedded. Progress is shown per file.
  2. When complete, documents appear in your Documents list and are searchable by the AI.

Website scraping

Use this option to add web content to your workspace by URL.

How to use

  1. Open Add Content (Saved Items β†’ Documents).
  2. Select the Website Scraping tab.
  3. Enter the Website URL (e.g. https://example.com).
  4. Set Depth (1–5): how many levels of links to follow from the origin.
  5. Set Max Links: maximum number of pages to scrape.
  6. Click submit. Scraping may take a while for large sites.

Tips:

  1. Use depth 1 for a single page.
  2. Increase depth and max links for deeper site indexing.
  3. Start with low values to avoid long runs.

Google Drive

Import files directly from your Google Drive into the workspace.

How to use

  1. Open Add Content (Saved Items β†’ Documents).
  2. Select the Google Drive tab.
  3. Connect your Google account if prompted.
  4. Browse folders and select files.
  5. Choose Import to add them to the workspace.

Requirements:

  1. Google Drive integration must be configured for your instance. If the tab is unavailable or fails, contact your administrator.

Chat attachments

You can attach files directly to a chat message. Behavior depends on file type:

Document files (PDF, Word, Excel, etc.)

  1. Attach via the paperclip icon in the chat input.
  2. When you send the message, the document is uploaded and embedded into the workspace.
  3. It becomes part of the knowledge base and is available for future conversations.

Image files

  1. Images are attached only to that message.
  2. They are not embedded into the workspace.
  3. They are visible to the AI in that conversation if your model supports vision.

How to attach in chat

  1. Click the paperclip icon next to the chat input.
  2. Select one or more files (or drag and drop onto the chat area where supported).
  3. Files appear as chips above the input.
  4. Send your message. Documents are embedded; images are used for that message only.

Upload blocks and limits

Uploads can be blocked or limited by:

  1. Plan limits β€” Document ingest may be restricted on some plans.
  2. Storage limits β€” Workspace or instance storage may be full.
  3. Credits β€” If your plan uses credits, you may run out.

When blocked, you’ll see a message explaining the reason. Upgrade or adjust usage as needed.

After uploading

  1. Embedding: Documents are chunked and converted to vectors for semantic search.
  2. Availability: Once embedded, they can be found and cited by the AI in chat.
  3. Management: View, preview, tag, and remove documents in Saved Items β†’ Documents.
  4. Pinning: Pin documents to specific threads so they’re prioritized in those conversations.

Troubleshooting

  1. Upload fails β€” Check plan limits, storage, and credits. Ensure the document processor is running (contact your admin if it’s offline).
  2. Website scraping times out β€” Reduce depth and max links. Some sites block or rate-limit scrapers.
  3. Google Drive not working β€” Verify Google Drive is configured. Reconnect your account if needed.
  4. Image attachment disabled β€” Switch to a model that supports vision (e.g. GPT-4V, Claude 3) if available on your instance.
  5. Document not found in chat β€” Ensure embedding completed. Check status in Saved Items β†’ Documents.
